Document Management

Procedures are in place to document, electronically log, and securely store any and all documents that schools and departments must keep to meet the State retention mandates. These documents would include such things as student and staff records, written communications, financial files, and administrative documentation. Document Management is responsible for processing both documents that need to be stored as well as documents that are eligible to be shredded and destroyed under state guidelines.  More information may be found here.

Record Request Guidelines

  • To ensure the request is properly processed, requests for inspection of public records should be submitted in writing and must include the name, address and telephone number of the person making the request.

  • The request must describe the records sought in sufficient detail to enable the Custodian of Records to identify and locate the requested records. The requestor is not required to state the reason for wishing to inspect the records.

  • Upon receipt of written or electronic Inspection of Public Records request, the RRPS Custodian of Records will respond in writing within three (3) business days to acknowledge receipt of the request.

  • After determining if the requested records exist, and are subject to inspection, copies of the records will be made available for review at the RRPS District Office at 500 Laser Rd. NE, Rio Rancho, NM 87124.

  • Arrangements can be made to have the request mailed or electronically delivered if necessary.

  • Please be aware that Rio Rancho Public Schools charges $.40/page for paper copies of all IPRA Requests.
