  ACCEPTANCE OF GRANT AWARDS Policy 510

The superintendent and individual schools and departments and employees are encouraged to seek grants from private or public sources for the improvement of school programs and services.   Given the competitive nature of grant opportunities, it is important for the District to coordinate the grant process.  This includes all opportunities that are identified by an individual, departments, or school(s).

The following conditions apply when seeking grant opportunities:

  1. the superintendent or designee must be informed by any school, department or employee of the intent to seek a grant in advance of the application, for final approval to proceed with grant application preparation;
  2. the superintendent or designee has the discretion to ask specific schools or departments to collaborate on an approved grant opportunity;
  3. all grant applications must have prior approval from the superintendent’s office or designee before final submission; and
  4. Given the highly competitive nature of grant opportunities, it is critical that potential funders recognize that the District has a process to coordinate applications so that multiple submissions to the same funding agency are prioritized and whether concurrent application submissions are appropriate; and to ensure that all applications meet the District’s strategic plan.

 Generally the board will not accept grant awards under either of the following two conditions:

  1. when the grant award is insufficient to pay the actual total cost of the service or program being created, or
  2. when at the grant termination, the district would be obligated to continue the grant-created service or program with district funds.

When an exception to these conditions is contemplated, the board shall be given full notice in advance of continuing the application process.
